Auto Numbers are used by Omnify to automatically set Part Numbers (Item forms), Change Numbers (Change forms), Issue Numbers (Quality/CAPA forms), Training Numbers, and HelpDesk Tickets.





You can define an unlimited number of Auto Number "Groups".



Each Auto Number group allows you to define:
  • Auto Number Sections
  • Character width of each section
  • Which section of the auto number to increment
  • Section separation character
  • "Start at 1" or "Start from last number" option

To create or modify Auto Number groups, select the Auto Numbers option from the Navigation tree.
To create an Auto Number group, click the Add Group button from the toolbar. The New Auto Number Group dialog box will appear.



When creating an AutoNumber group, you must define a group name, the number of sections, and character used to separate the sections. Once fields are defined, click the Add Group button.



After the group is created, the system will automatically select the new group and display the section details.



To modify an Auto Number group, select the desired group from the Auto Number drop list.



After the group is selected the system will display the section details.



From the section details list, you can set the section width (number of characters).



Checking the Increment column will indicate which group will be used as the numeric increment section.



You can add and remove sections using the Add Section button and Remove hyperlink.



Saving Group Data
Once changes have been made to a group, you must click the Save Settings button, before selecting another group.



Removing a Group
To remove an AutoNumber group, first, select the group.



Next, click the Remove Group button You will be asked to verify the removal.



Note: you cannot remove the <Default Part Number> and <Default Change Number> groups.
You can set the Auto Number scheme and Part Number prefix an item/part/BOM should use at both the item type and item category level. When defining (or modifying) an Item Type or Item Category the user selects which Auto Number group to use.



When defining (or modifying) a Change Type, you can select which Auto Number group the system will use when automatically generating Change Numbers.



When defining a Quality/CAPA Type, you can select which Auto Number group the system will use when automatically generating Issue Numbers.




In this example, part numbers would assume the format: AAA-BBBBB
Where BBBBB would be the number that would increment for each subsequent part number.
 



In this example, part numbers would assume the format: AA-BBBB-CC
Where BBBB would be the number that would increment for each subsequent part number.
 
Part Number Format Example:





The part number format is set to AA-BBBB-CC, and the Category called "Capacitors" has a part number prefix of 07. When generating the next number you will get the following results:
